We personally travel across Africa and beyond to experience the destinations, lodges, and routes we recommend. We meet guides, test travel logistics, and build trusted relationships with local partners — so when you travel, everything feels effortless, authentic, and beautifully curated.

🌍 Our Process

1. Initial Inquiry

Your journey starts with a few details. Complete our Trip Inquiry Form to share your travel goals, preferred destinations, and what kind of experiences excite you most. This gives us a foundation to begin crafting your personalized journey.

2. Discovery Call

Next, we’ll connect for a short phone or video call to learn more about your travel style, budget, and timeline.
We’ll also discuss the Trip Design Fee, which starts at $300 and varies based on trip complexity and number of travelers.

3. Trip Design Fee

At SafariSmiths Travel, we charge a Trip Design Fee that reflects the time, expertise, and personal attention devoted to crafting each client’s journey. This non-refundable fee is separate from your trip costs and allows us to dedicate the professional care your travel experience deserves.

After assessing your travel goals, the number of travelers, and the complexity of your itinerary, we’ll provide a transparent quote at the very beginning of our process — so there are no surprises. Our planning fee starts at $300 and varies depending on the scope of the trip.

Once your fee is confirmed, we begin the design process. This includes:

  • Extensive research and personalized itinerary design

  • Communication with our trusted partners and suppliers worldwide

  • Creation of a detailed written proposal and digital itinerary

  • Comprehensive vacation management from start to finish

  • Inclusion of travel insurance options and on-trip support

You’ll have the flexibility to make up to three rounds of changes to your original itinerary. Additional revisions may incur supplementary fees to reflect the extra coordination required.

Should you decide to cancel your trip after significant planning time, a trip cancellation fee of at least 10% of the total trip cost will apply, reflecting the professional services already provided.

4. Research & Itinerary Design

Once the design fee is confirmed, we begin the creative process — designing your trip from the ground up.
This stage includes:

  • In-depth research and destination recommendations

  • Vetted lodges, guides, and private experiences from our trusted partners

  • Flight routing and transfer logistics

  • Travel insurance options and coordination

Within 7–10 business days, you’ll receive your custom written itinerary for review.

5. Refinement & Revisions

We believe great travel design is a collaboration.
You’ll have up to three rounds of revisions to fine-tune the details — adjusting destinations, hotels, or activities until everything feels just right.

6. Booking & Confirmation

Once your itinerary is finalized, we’ll handle every booking and detail on your behalf. You’ll receive:

  • A digital itinerary and app access for real-time updates

  • 24/7 local contacts for on-the-ground assistance

  • Comprehensive travel insurance quotes

All you have to do is pack your bags — we take care of the rest.

7. While You Travel

Your dedicated in-destination partners are available around the clock to assist with anything you might need.
We remain just a message away to ensure every moment of your journey unfolds smoothly.

8. Post-Trip Debrief

After your return, we reconnect to hear about your experience — what you loved, what surprised you, and what you’d like to explore next.
This conversation helps us continue refining your travel preferences for future adventures.
